Management Meeting Minutes

Meeting dated: 16th July 2025

Present: Brian Croad, Nick Martin, Scott Scarrow, Mohmud Mohamed, Paul Impey, Ash Khan

In attendance: None

Apologies for Absence: Andy Rickman, Toni Horodyski, (both due to work or health commitments)

Minutes of Previous Meeting:

All agreed, except for one item. AR to provide additional details of why he disagreed with the content of item on cameras.

Matters Arising From Previous Meeting:

Squash coaching – NM reported that he had sent the spreadsheet to the squash coaches for a second time. He will chase this up by Friday. If they are not able to confirm that they will start using it, SS will contact them with a deadline for using this and the action the committee will take if they fails to do so. Action: NM/SS to progress.

Alarms – NM reported that Hudson Security will replace the fire alarm panel by the end of this month. Action: NM to chase Hudson Security.

Boiler Repairs – Completed.

Club promotion – Sophie and Scarlett now have access to the club's Facebook account. They are carrying out research into which sites and local forums we should be promoting the club. Once that established, we can start putting out updates and content. They are trying to get footage from the squash and badminton sections for use on internet adverts etc, but have had little response. Action: SS to arrange for action footage/photos of squash and badminton.

Snooker table – a temporary repair has been carried out. AR reported that the snooker team say that the repair is not satisfactory for matches. Action: SC to get quote for full replacement of baize, either match standard or general standard cloth.

4. Finance Matters

MM reported that the club had £80k in the club account, and £140k in reserves, and the outstanding loan was £66k.

MM reported that operating costs will increase this year, mainly due to staff costs, but the club is still projected to achieve a surplus by the end of the year.

MM also reported that the draft accounts had now been signed off.

5. Management & Club Matters.

Cameras – following agreement at last meeting, the sound option on the cameras has not yet been turned off. NM to arrange for Hudson Security to attend and carry this out. Also for them to look at recording the sound on the hard drive but disabling the transmission of real time or recorded sound to the app. Action – NM to arrange Hudson Security.

Air Conditioning – the cellar AC is not functioning efficiently. Action – NM to arrange for AC contractor to attend and service AC unit and provide an F gas certificate.

Land sale – BC reported that our solicitor Ian Chappell will write to Kingston Council to confirm that the club is not liable for the CIL charge, since the developer will take ownership of that land before development commences.

Gym cleaning – this is for cleaning the floors and all around the equipment. BC to ask Linda to contact the cleaning company and ask for a specification of what they are required to do. If this is not within the specification, then ask the cleaners if they can do a clean of the 3 rooms in the gym every 2 weeks on a Wednesday. Action: BC to ask Linda.

Open Day - BC reported that an open day had not yet been arranged, and will ask Laura if she is happy to arrange and manage this.. To be discussed and arranged at next meeting.

6. Tennis Section.

BC reported that the tennis section were holding a regular committee meeting next week, and the tournament is now well under way.

7. Squash Section .

BC reported on behalf of GY that he is working on a template to deal with messages of interest in the club. Also, that Surrey Squash have confirmed that the club has been successful in hosting events next year – The Michael Hennings Junior Graded Series in June, the Neil Dasu Series in June, and The Copper/Bronze England Squash Sanctioned event (date to be confirmed).

8. Badminton Section.

BC reported that the match secretary will now be Daniel Christopher, replacing Lesley Croad. The committee thanks Lesley for her efforts in that post for the past 50 years.

Daniel also stated that he would be happy to be the junior coach if required.

AK confirmed that he would look at obtaining footage of badminton play for use in promoting the club. Action – AK to obtain footage of badminton play.

9. Gym Section.

Nothing to report.

10. Pickleball Section.

MM reported that this section was looking healthy with increasing membership. A further social section was suggested once the current session becomes over-subscribed.

11. Business Plan.

The committee agreed the Vision for the club: We are a local club with a gym and courts for most racquet sports, where members can complete, play and develop their skills at an affordable cost. Our clubhouse provides a welcoming setting for social and playing members and their guests.

The committee also agreed with the SWOT attributes collated so far. SS will tabulate these, for use in the Gap Analysis, which is the next step towards formulating the club's Business Plan. Committee members will agree during the Gap Analysis where the club currently sits against where it would sit in an ideal world for a number of areas (eg financial position, reputation, membership etc). SS will compile the list of areas for this exercise to be done either at the next meeting or the one after. Action – SS to compile GA list.
