Minutes for Management Meeting: 19th March 2025

Minutes of Previous Meeting: Minutes of management meeting 20th February 2025 were approved.

Membership: Total: 972 925 Paying Member

NM provided a current breakdown of current members. Key club sessions have the following members:

Badminton 48

Gym 157

Juniors 120

Social 115

Squash 129

Tennis 117

Matters Arising:

Coaching proposals for squash Section still under review and meeting with squash coaches held..Basic requirements discussed and we have produced a spread sheet for all coaching classes and for members coach led members groups. Coaches will be required to enter names membership status and fees charged on a daily basis so that we can use the data so as to discuss and agree a contract and payments to be paid by squash coaches.

Andy reported that he had met with Hudson security and further works had been carried out. The microphone section of the sound limiter had been move sufficiently which allowed Andy to adjust the settings for the sound limiter. The bar mounted limiter repeater had been fitted. The maximum period of playback has not yet been extended to 28 days but now exceeds 21 days. It was agreed that the extension lead fitted to the system which is intended to be used for the music system to plug into the limiter was not suitable and will be removed and a single socket installed.

Wednesday evening tennis session for new members and how information is provided to the tennis section is being worked on

Finance:

Audit Pack for year ending Sept 2024 has been sent our auditors, Z-Group. Push for them to finalise end of April. AGM….?
YTD Jan Income down by 7%. Bulk of this is related to Bar receipts.
Operating Costs flat compared to same period last year.
With Premises costs - down as a result of fixing rates & Gen O’head costs down we have a better profit margin than we had last year.
Head winds are increase in salaries and Repair-Maintenance costs that inevitably we will need to undertake.

Land sale will lead to revaluations on land & buildings which will have an impact depreciation expenses in future years.

We need to consider how we invest the monies received from the land sale so as to find the best interest rates available.

It has been observed that court usage, bar takings etc are down a little recently and although we have several functions booked for May/June these are down at present.

Management:

Land sale update: Much of the work at present is of a legal Nature which proceeds on a daily basis.

the soil survey commenced and was completed on Monday 3rd March last the early bore holes along the court 6-7 line apparently showed approx 1.2 metres of fill and then good clay. The on site soils expert thought this was ok for foundations. The BH,s along the boundary with the home apparently found some crystals at a high level which might necessitate the removal of some soil due to a possible reaction with site concrete. There might also be some oil present but the operator’s general knowledge indicated there would not be many problems. This is of course just a view held by the site operative and we need to await the actual report findings.

He also mentioned the court surface tarmac of which there are two types. Neither are a concern but one type can be use as site fill whereas the other would need to be removed from site as it could not be used in the construction due to a possible reaction with concrete.

Unless there are major problems with the proposed foundations the new option variation has been agreed and the developers will sign and agree the revised option by March 31st.

The agreement has a final date 0f May 7th 2025 with full completion 2 weeks later. There is however one problem with planning permission which might delay matters by a few weeks.

This is in no way caused by Concept Development nor New Malden. Concepts have been in contact with Kingston Planning and requested the agreement be made ready for signing and PP granted. Concepts forwarded a chain of emails between Concepts, Kingston and Concept legal team. I believe the chain was around half a mile long!!!!!! In brief, the chief Borough planner, has declared he is too busy at present to deal with this S106 agreement, his junior officer who dealt with the 106 agreement previously is also working on another project and he will have to delegate to a new officer who will need a few weeks to familiarise themselves with the case!!!!!! WE have all had our fingers taped up in the crossed position.

Tennis:

The Tennis AGM is to be held on Wednesday 26th March

The new automated tennis ladder is up and running with a good take up which we are confident will continue to grow. It is a ‘rented’ programme which costs £28.76 per month.

The company contracted to fully clean and remove moss on courts 5 and 6 will commence tomorrow.

Squash:

Repairs to court 2 agreed at £1,440. Court 2 repaired under warranty. The exterior repair is considerably more expensive but we need to investigate what work was carried out when squash court roof was raised and whether any lateral ‘ties’ were provided.

Squash court 1 and 2 have been repaired.
Squash Championship planned to kick off on the 22nd April with the finals on the 10th May. We are discussing a cut down version and potentially a different format due to the decreasing number of squash members and previous lack of interest.
Communication due to go out shortly via MYcourts asking for further support to help run the squash section. We are looking for a club captain and resource to help manage small members social events/tournaments.
Entering 4 men's teams into the summer surrey cup.

Badminton: The badminton Tournament is proposed for the weeks 19th to 31st May

Gym:

Louise termination expired on March 3rd 2025 but Louise accepted and signed a new contract to continue working in the gym/hall under agreed terms. Louise is therefore working with us again.
