Minutes for Management Meeting: 15th July 2026

3. Matters Arising from previous meeting:
Squash coaching – SS reported that Tom Proctor has provided a counter proposal, following discussion of the management proposal with the coach. SS reported that the counter proposal was not clear, so has taken the data and compiled it in a clearer spreadsheet. SS then provided a summary of that spreadsheet to members of the committee. All agreed to review this summary and agree on the action to take next week. Action – All
Tennis contract with Paul Ryan – No further progress, waiting on progress with squash coaching.
Mobile Phone mast update SS reported that a specialist (Tim Clark of Property Consultancy) has considerable experience in dealing with mast contracts, and has stated that the mast operator has a legal duty to refund all reasonable legal costs that the club would incur in negotiating with the operator. As agreed with the all other members of the finance committee last week, SS has instructed Tim to act on our behalf, and Tim has reported that he has sent a revised Heads of Terms letter to the mast operator, and is waiting for a response.
Land Sale financial statement - BC has asked the club’s lawyers to compile a full financial statement for the land sale, and to ask for receipt of the interest earned whilst the deposit was in the lawyers’ hands.
4. Finance :
MM reported that the club had £71k in the club account, and £1.659M in interest-bearing accounts. MM has opened a separate interest bearing account for the S106 requirements, and transferred £150k to that account.
MM reported that the P&L account indicated that the year end surplus was expected to be around £60k (approx 13% of turnover), exceeding the club's target of 12% of turnover.
MM reported that the accounts for 24-25 have now been signed, and were presented to members in advance of the AGM.
5. Management & Club Matters:
Fire Risk Assessmen t – a proposal to refurbish the emergency lighting system has been received from Ray Harper, and will be discussed by the Finance Committee. Action – Finance Committee
Open Day - BC reported that a second open day was being arranged, with Laura, Sam and Nancy leading on this.
Land Sale Update : It was agreed that we should now convene a meeting with club members to discuss how we proceed to distribute the land sale monies and so develop the club using a members/committee Development committee. This has been promised to members several times since 2024. The first available date was agreed as Monday August 10th 2026 at 7:30pm. Action – BC to issue email to all members.
6. Tennis :
NM reported that all the faulty lamps had been replaced on the courts, but the control gear on three needed replacing. This is currently in progress with Steve White.
NM reported that the tennis committee members were being very proactive in improving the garden and keeping the tennis courts clean, with bins emptied.
7. Squash:
GY reported that squash social sessions were currently very popular.
8. Badminton:
AK reported that there had been no progress on completing the light replacements in the hall.
AK reported that the Sutton badminton league were holding their league match organisation at the club on the 4th September.
9 Gym Section.
NM reported that the new treadmills were on order, and the step machine was being ordered. Action NM
SS reported that the gym instructor Louise had complained that a member had not followed reasonable gym etiquette while she was holding a class in the gym. Although the club had sent out an email stating that the class was being held in the gym because the weather was so hot, no notice was put on the door, which would have warned the member. SS to ask Louise what she would like the club to send out regarding etiquette. Action SS to ask Louise.
10. Pickleball.
MM reported that the first DUPR session had been held, and was a success. The next session would be on the 25th July.
MM reported that he was introducing an additional hour session before the social session on Thursday.
11. Business Plan, Marketing and Promotion.
SS reported that the responses from the survey have been reviewed and aligned with the results of the gap analysis. This information has now been used to compile the focus of each of the workshops. SS will harvest the details of all the members that indicated that they were willing to take part in the workshops, and will assign members to workshops. These workshops are likely to be held in September and October. Action - SS to arrange
SS reported that the banner on tennis court 1, promoting the A3 tournament failed to sufficiently identify that the tournament was one of the club's tournament. The only mention of the club was as part of the address at the bottom of the banner. SS to contact the person running the A3 subsection to explain that the club's logo and name must be the same size or larger than the A3 title. Action - SS to contact A3.
